Everything UpPlan does

From setting up your business to the file for your payroll administrator. Here it is, part by part, without the sales talk.

Dashboard

The Dashboard is the first page and the only one you need every day. New? Then it walks you through the setup step by step, with every form right there. Set up? Then it shows only what needs you now.

  • Setup in steps

Your business's details, roles, team, availability, default week, clocking in, your first published week and your company details for invoices. A red counter in the menu shows how many steps are still open.

  • Suggestions per industry

Hospitality, retail, healthcare, events, logistics or office: the usual roles are ready to click on. Your own roles go next to them in a moment.

  • One card per job

Today's open shifts, requests, hours to approve, days to publish, missing availability. Whatever is done disappears.

  • Forgotten clock-outs

If a clock runs for more than sixteen hours, you see it on the Dashboard and fill in the end time. The hours then wait for your approval.

  • Availability reminders

Remind anyone who hasn't filled anything in with one click, per person or all at once; at most once a week per person, in the app and by email.

  • Month end

Around the turn of the month that month's export is ready: every line with the person's hourly rate (or else the role's), the surcharge and the amount.

Plan

The planner is a timeline per day. Every role has its own row, every shift is a bar you draw, drag and stretch or shorten. A strip above it shows per hour how many people are on and whether all of those shifts are filled yet.

  • Draw, drag, stretch

Drag across a role's row to draw a shift. Move a bar, pull its ends, click it for the details. Shifts can run past midnight.

  • Drag people on

Your team sits on the left with that week's hours against their contract hours. Drag someone onto a bar, or let Auto-fill do it.

  • Default week

Per weekday which roles you need, from when to when. Every day still to come that hasn't been touched is filled with it by itself. Roles and times only, never names.

  • Import old rotas

Load up to five old weekly rotas as Excel, CSV, PDF or photos. UpPlan uses AI to find the typical pattern: per weekday which role, from when to when and how many at once. You check it before it becomes your default week.

  • Publish per day

You work in draft. Publish the whole week or single days; only then does your team see them, and everyone with a shift gets a notification. Change a published day and you see 'changes to publish'.

  • Undo and redo

Every step on the board can be undone and redone, with the buttons or with Ctrl+Z. Auto-fill and publishing too.

  • Warnings on the board

A shift that breaks the Working Hours Act gets a warning with the reason. Anyone going over their contract hours shows up in your team list.

  • Hours in the rota

Set the hours your rota runs, say 16:00 to 02:00. The timeline follows those hours and stretches by itself when a shift falls outside them.

Auto-fill

Auto-fill is a fixed series of checks that does the same thing every time and that you can read back. It is not artificial intelligence making guesses. That is why you can rely on it, and why you know what happened.

Stylised illustration with sample data, not a screenshot.
  • Open shifts filled in one click

For each open shift of the week, Auto-fill finds someone who has the role, isn't already scheduled, isn't on leave, is available and still has room in their contract hours.

  • Your own work rules

Set a minimum rest between two shifts and give each person contract hours. Auto-fill never goes over them.

  • Working Hours Act

With the check on, Auto-fill refuses shifts longer than 12 hours and weeks over 60 hours, and with a date of birth applies the stricter rules for young workers.

  • An explanation for every open shift

If something stays open you get a report: for each shift, who was considered, why they were ruled out and what would fix it.

  • Fair distribution

Between equally suitable people the shift goes to whoever marked the time as preferred, and otherwise to whoever has the fewest hours that week.

  • Undo

Not happy with the result? Undo Auto-fill in one click, and nothing reaches your team until you publish.

Team

Everything about the people on one page: who has which role, how many hours they have, how much leave is left, what they worked and earned this month. You edit it in the table itself, and every change can be undone.

  • Everything per person

Roles, contract hours, leave hours per year, carried-over hours, leave left, this month's worked hours and pay, hourly rate and availability type. Click someone for the details and the last eight weeks.

  • Import from a file

An Excel file, CSV, PDF or a photo of a list: UpPlan uses AI to read the name, email, phone, roles, contract hours, leave hours, hourly rate and date of birth. You check the table before anyone is added. A plain CSV import always works, also without AI.

  • Invite by email

Whoever you add gets an email with a link and logs in on their own phone. There is no app to install.

  • Availability, always with times

Per person a fixed weekly pattern or availability per day, each block marked 'available' or 'preferred'. Everyone fills in their own; managers can edit anyone's and see the whole team in one overview.

  • Leave with a balance

Vacation, sickness, personal, special, unpaid or other. Only vacation comes off the balance: leave hours per year plus carried-over hours, minus taken and planned. A day counts as a fifth of the contract hours.

  • Requests in one place

Leave requests and shift swaps, open and decided. Approve or deny, and reverse it later if needed. If the leave balance is short, UpPlan asks first on the Team page whether you want to go ahead.

  • Hourly rate per person or per role

Give a role an hourly rate and deviate per person when needed. The person's own rate wins; staff never see the rates.

  • Archiving

Archive whoever has left. The person is no longer scheduled and no longer counts for your subscription; their hours and history are kept.

Hours and pay

A rota is a plan. What was actually worked comes from the time clock. UpPlan puts the two side by side, so you see differences before they end up on a payslip.

Stylised illustration with sample data, not a screenshot.
  • Clocking in on their own phone

Staff start and stop the clock in their phone's browser and report their break when they stop. The server records the times, not the phone.

  • Only clock in at work

Choose per organization: GPS within a radius of the business, a QR code on a screen in the business that changes every 30 seconds, either one, or no check. The check runs on the server.

  • Automatic break deduction

If you want, at least the legal break is deducted from the hours at clock-out: 30 minutes after 5.5 hours, 45 after 10, and for staff under 18 30 minutes after 4.5 hours. A longer break someone reports themselves still counts.

  • Self-correction, until you look

Someone corrects a forgotten start or stop themselves, as long as the hours haven't been reviewed yet. After that only a manager can change them.

  • Approve and export

Per week, worked against scheduled. Approve per entry, per person or everything at once, and export the week as a CSV: person, date, times, break, hours, role, hourly rate, surcharge and amount.

  • Surcharges

A percentage for a weekday, a date, the same date every year or a local event. One button lines up a year's Dutch public holidays. If two fall on one day, the highest counts.

  • Tips, for hospitality

Enter the day's tips and choose the split: by hours, by hours with a weight per role, or equally. If the hours change later, you recalculate. It is in the payroll export too.

  • Analytics

Per week, month or year: planned and worked hours and cost, per person and per role, how much of the contract hours was worked, who clocks in on time and who misses clock-ins. Click someone for the details.

Organization

The frame it all happens in: who may do what, how you are warned and how you pay.

  • One business, one organization

An organization is one place, with its own staff, rota and subscription. Have a second business? Create a second organization from the menu at the top left and switch in one click.

  • Roles and permissions

Owner, manager and staff each see what they need. Managers can do everything except billing; staff see the published rota, their own hours and their own leave.

  • Notifications in the app and by email

Published rotas, changed shifts, leave, swaps, sick reports and reminders. Everyone chooses what they want to be emailed about; the app always shows everything.

  • Two-step verification

Every user can link an authenticator app. An organization can require it for all members.

  • Audit log

Changes to the rota, decisions on leave, swaps and sick reports, and archiving staff are recorded: who, what and when.

  • Paying through Stripe

One plan, monthly, by card, iDEAL or SEPA direct debit. You cancel yourself in UpPlan; invoices are there as PDFs.

What UpPlan is not

UpPlan does not produce payslips, does not connect to your point of sale and does not forecast how busy you will be. Auto-fill is not AI; AI is only in the two imports, if you use them. UpPlan does one thing well: from availability to rota to approved hours.
